SSBee Case Study 2 - Service Providers

The Problem:

Most people would not consider Medical Service Providers as managers of quite large stock inventories
However having been requested to submit a proposal for a stock control system by a large Dental Practice we soon learnt that this is in fact the case. Supporting 9 practitioners requires them to carry an inventory of over 2,000 items, many of which are small but very expensive, high turnover products.

Maintaining the right levels of stock to allay the constant fear of running out, balancing cost and quantity to optimise cash flow can be a heavy burden on admin and the nursing assistants upon whose shoulders this generally falls. The dentists naturally want what they want when they want it, for each patient and they cannot plan this as emergencies are a natural part of the service. It is imperative therefore to have a foolproof system which monitors deliveries and distribution, is easy and quick to use, provides easy to read reports and can analyse trends by season, type of patient and other related indicators (as determined by the client) in real time, with alerts on minimum stock levels including allowing for individual lead times on each product.

The Solution:

The very small size of many of the products made bar coding difficult so a compromise was reached with each practitioner on bar coded multipacks allowing easy dispensing and automatic reordering. Delivery commitments were negotiated with each supplier and the overall stock holding reduced by a substantial margin whilst guaranteeing delivery and eliminating the constant concern over running out of vitally important items.

As the relationships between the practice and suppliers were strong and trust high key suppliers were given limited access to the database sections containing their products allowing specific monitoring of their particular products and adjustment of deliveries if for instance advanced warning had been received of future shortages.
